Sales & Marketing Coordinator

Act as a supporting role to the designated Manager/s in the daily execution of business.  Assist in achieving monthly, quarterly, and annual goals through administrative tasks. The position entails a need for excellent communication skills; ability to multi-task on a variety of projects simultaneously, accurate distribution of pertinent information both internally to all departments as well as to clients and related vendors. Excellent client facing skills and general sales ability a plus.

Job Responsibilities and Tasks:

Include but not limited to:

SALES/SERVICE

  1. Inquiry intake including all pertinent event information client contact, date, time, format, number of guests, location, etc.
  2. Preparation of proposals for events to be reviewed by Director and or sales team prior to submittal
  3. Support sales initiatives through research, marketing interface, communications and sourcing, and up selling 
  4. Interface with marketing department on materials and promotions tracking to deadlines where necessary
  5. Assist in the coordination of marketing efforts through coordination of events, preparation of marketing gifts, etc. when necessary
  6. Input of all contacts, sales calls, etc. into Delphi
  7. Accurate distribution of all relative event details to appropriate departments  
  8. Client walkthroughs of venue spaces when necessary 
  9. On-site sales representation at events as scheduled

FINANCIALS

  1. Receipt and processing of all deposits including Reserve entry
  2. Update event files with all receipts
  3. Communicate with accounting on any needs, clarification, etc.

ADMINISTRATION

  1. Receive phone calls for Management Team Members communicating detailed and accurate messages
  2. Assist in scheduling meetings, appointments, travel, etc.
  3. Prepare reports for Regional Director of Sales 

OPERATIONS

  1. Attend weekly operations/production meetings
  2. Communicate all pertinent details to internal departments, have timely updated and accurate information
  3. Interface with Operations departments and Managers to communicate details accurately
  4. Preparation and submission of reservation details as needed

Skill and Knowledge Requirements:

  • Basic Windows Office, Outlook, Excel, Word, some hospitality sofware (Delphi) a plus but not necessary
